Job Description:

Must be detail-oriented, and good with numbers. Strong computer skills & Proficiency w/ MS outlook and database programs req. A /R & A/P background a plus. Individual must have strong organizational and written communication skills with the ability to work independently and as a team, while multi-tasking within a fast-paced office environment.

Duties:

  • Maintain office files, both electronic and hardcopy, as well as, records in accordance with internal and client procedures.
  • Strong Microsoft Office skills required. Strong Excel required.
  • Type material from rough drafts or revised drafts following standardized formats using Microsoft Word. Draft and type routine letters and memos from specific instructions.
  • Assemble and compile basic data for reports or presentations from established sources as directed.
  • Schedule and maintain calendar of appointments, meetings and travel itineraries and coordinates related arrangements.
  • Perform general data input, process expense and reimbursement reports.
  • Greet and direct guests entering and leaving the suite.
  • Answering phones, transferring calls to appropriate parties; relaying messages.
  • Reconcile credit card statements.
  • Coordinate conference room scheduling, meeting arrangements, and catering needs
  • Coordinate monthly social event.
  • Perform other duties as assigned.

Qualifications:

  • High School Diploma or GED, plus a minimum of 2 years’ experience or more
  • Proficient in Microsoft Office Suite, including: Outlook, Word, Excel and Power Point
  • Expert level communication skills and strong decision making ability is essential

  • Purchase high quality goods and services at the lowest possible prices.
  • Monitors orders, takes remedial action when necessary, and communicates status with end users.
  • Manages relationships with key suppliers to maintain quality of goods, timely delivery and compliance with contract terms.
  • Maintains and follows all purchasing and materials management policies of the organization.
  • Maintains a working technical knowledge of the goods and services to be purchased.
  • Processes all invoices daily by assuring that all Accounts Payable (AP) invoice discrepancies are reviewed, researched, corrected and completed daily as well as follow up with internal departments and AP for any issues.
  • Daily follow up with internal departments’ order requests and assist with the procurement of stock items as needed.
  • Assist with processing of all purchase requisitions for repairs/returns for all orders related to surgical instruments, and supplies. Assures that all the appropriate paperwork is processed.
  • Manages and maintains pricing in the company purchasing system.
  • Confirms packages are delivered to the correct recipient and in a timely manner.
  • Performs other duties as assigned.
